Your Patient Registry Is Your Most Undervalued Recruitment Asset

Every study a site runs produces a byproduct more valuable than most sites realize: a list of real people, with verified contact information and known medical context, who have already raised their hand for research.
What belongs in a registry
- Past participants who completed studies and consented to future contact
- Screen failures — often eligible for a different protocol tomorrow even if they missed one criterion today
- Volunteers who inquired about a study that was already full or not a fit
- Community sign-ups from health fairs, webinars, and your website
Why registries beat paid outreach
A registry contact converts at multiples of a cold advertising lead. They already know your site, they've expressed interest in research, and you know something about their health history. When a new study opens, filtering your registry by age, condition, and location can produce a call list in minutes — before the first ad dollar is spent.
Keeping it usable
A registry is only as good as its hygiene:
- Capture consent to re-contact explicitly — at consent, at screen-fail, at study close-out.
- Structure the data. Free-text notes can't be filtered. Age, conditions, medications, and location should be fields, not paragraphs.
- Record every touch. If someone said "don't call me during work hours" or "not interested in vaccine studies," that context should follow them.
- Respect opt-outs ruthlessly. One ignored do-not-contact flag can cost you a community's trust.
Start now, not at study start
The worst time to build a registry is when a sponsor is asking for your enrollment projections. Sites that treat every interaction — even the ones that don't convert — as a future recruitment asset enter each new study with a head start that paid media can't match.
