Know which channel actually enrolls

Referral Partners and Campaigns

Track every recruitment partner, ad, and referral source with campaign links that follow a candidate all the way to randomization.

What you get

  • Partner records for vendors, physicians, clinics, newsletters, and community orgs
  • Tracked campaign links with visits → submissions → qualified → enrolled funnels
  • Cost per referral, per qualified, and per enrolled from your agreed rates
  • Read-only partner share links: results without exposing participant data
  • Public study pages and a study directory to point campaigns at

Why it matters

Recruitment spend is guesswork until you can attribute it. Give each partner, ad set, clinic, and newsletter its own tracked link, and Trialflow follows every click through submission, qualification, and enrollment — with the cost per outcome from the rates you actually agreed to.

FAQ

Referral Partners and Campaigns questions, answered

How does attribution actually work?+

Each campaign gets a short code that goes on your public form or study-page URL. Every page view, form submission, and lead created through that link is attributed to the campaign — and stays attributed as the person moves through screening to enrollment.

Can I see cost per enrolled participant by channel?+

Yes. Record what you pay a partner per referral, per qualified candidate, or per enrollment, and the campaign report multiplies it out — so you can compare a recruitment vendor against a physician network on the number that matters.

Can partners see their own results?+

You can generate a read-only share link for a campaign. The partner sees the funnel counts for their own campaign — views, submissions, qualified, enrolled — with no participant names or contact details.

What counts as a referral partner?+

Anything that sends you candidates: a recruitment vendor, a referring physician practice, a clinic, a newsletter, a patient advocacy group, or your own paid social. Each gets its own record, contact details, and agreed economics.

Do I need a website to run a campaign?+

No. Turn on a public study page for the protocol and point the campaign at it — it renders your IRB-approved description and the linked screening form, in the languages you have translations for. A public directory of your open studies is available too.

Does this replace our ad platform reporting?+

It complements it. Ad platforms tell you about clicks; Trialflow tells you which of those clicks became a screened, qualified, and randomized participant — which is the only number your sponsor is asking about.
