Go live on real studies
Your coordinators run actual recruitment on Trialflow — not a sandbox. We train the team, watch where the workflow snags, and fix what gets in the way that week.
Build cycles with the dev team
Weekly sessions turn what your team hits into scoped work. The customizations you asked for ship during the pilot, in your environment, and you use them before the pilot ends.
Readout and decision
We put your starting metrics next to your ending ones and hand you the export. Continue on a plan that reflects what you actually use, or walk away — the pilot costs nothing either way.

The pilot is free because what we learn from you is worth more to us than the subscription. That only holds if you actually use it.

Pilot program FAQ
Is the pilot really free?
Yes. There is no cost for the 60 days, no card required to start, and no automatic conversion to a paid plan at the end. We are investing engineering time in exchange for working closely with sites at real scale.
What happens after the 60 days?
You decide. Continue on a plan sized to your organization, or export your data and stop. Pilot participants keep the features built for them and receive pilot pricing if they continue.
Who owns features built during the pilot?
The work becomes part of Trialflow, and you get it first. Anything specific to your protocols, sponsors, or internal systems stays configured for you. We never share your data or your workflows with other customers.
How is our participant data handled?
Exactly as it is for paying customers: encryption in transit and at rest, role-based access control, and audit logging on sensitive actions. We sign a BAA before any protected health information moves, and pilots are no exception.
How many organizations are you accepting?
A small cohort — this only works if our engineers can give each participant real attention. Applications close November 1, 2026, and we review them as they arrive.
We are a single site. Can we still apply?
Apply if you run high volume — several concurrent protocols or a large referral base. The program is designed for larger entities, but a single site with real scale is a good fit. Otherwise, a demo is the faster path.
