Coordinator Burnout Is a Recruitment Problem
Turnover among coordinators gets discussed as an HR issue. It’s also quietly one of the biggest drags on enrollment performance.

Clinical research coordinator turnover runs high industry-wide, and every departure hits recruitment harder than schedules acknowledge. The pipeline knowledge — which leads are warm, what was promised to whom, why Mrs. Alvarez prefers afternoon calls — walks out the door, and enrollment dips for months while a replacement rebuilds it.
How recruitment work burns people out
Recruitment is emotionally asymmetric work: dozens of calls to reach a handful of interested people, no-shows after careful scheduling, and screen failures that erase a week's progress. Layer on the administrative load — updating three systems, assembling reports by hand, chasing signatures — and the job becomes mostly friction with intermittent reward.
The fix isn't pizza. It's removing the structural drags:
Kill duplicate data entry. Every fact should be typed once. Coordinators who re-enter the same lead into a spreadsheet, a dialer log, and a status report are doing software's job.
Automate the remembering. Follow-up cadences, reminder texts, and due-today queues should be system-generated. Human memory is the wrong tool, and the anxiety of "what am I forgetting?" is a real burnout accelerant.
Protect focus blocks. Context-switching between visits, phones, and queries all day is exhausting. Sites that schedule dedicated recruitment blocks report both better conversion and saner staff.
Make wins visible. A dashboard that shows "you moved 9 people to screening this week" reframes work that otherwise feels like rejection.
The retention–recruitment loop
Experienced coordinators convert leads at meaningfully higher rates — they answer objections better, schedule smarter, and are known to returning participants. Reducing turnover is therefore a recruitment investment with compounding returns. When site leadership evaluates workload tools, the right question isn't "can we afford it?" but "what does replacing two coordinators a year actually cost us in enrollment?"
