Spreadsheets Are Costing Your Site Enrollments

Excel got your site this far. But once you run more than a couple of concurrent studies, spreadsheet recruitment starts silently losing participants.

Nearly every research site starts the same way: a spreadsheet per study, with names, phone numbers, and a status column. It works — right up until it doesn't.

Where spreadsheets break

No single view of a person. The same patient can appear in three study spreadsheets with three different phone numbers and no shared history. Duplicate outreach annoys patients; missed context loses them.

Status is a matter of opinion. "Called — LM" means something different to each coordinator. Without defined pipeline stages, nobody can say how many people are actually in screening this week.

Nothing happens automatically. A spreadsheet won't remind anyone that a lead hasn't been called in five days, won't send a confirmation text, and won't flag that a screen-failed patient matches the new protocol.

Auditability is near zero. When a sponsor or IRB asks how a participant was recruited and contacted, reconstructing the story from cell edits is painful — if it's possible at all.
