EDC, CTMS, CRM: Untangling the Site Technology Alphabet

Clinical research technology comes wrapped in acronyms, and vendors are happy to blur the lines between them. A quick untangling:

The big three

EDC (Electronic Data Capture) is the sponsor's system for collecting study data — the eCRFs coordinators fill in after visits. Sites use it because they must; it's chosen by the sponsor, not the site.

CTMS (Clinical Trial Management System) manages the operational side of conducting studies: visit calendars, monitoring visits, financials, regulatory document tracking. Site-facing CTMS products help sites run the studies they've already enrolled.

Recruitment CRM manages people before they become participants: leads, pre-screening, contact history, referral sources, and conversion funnels. This is the layer most sites are missing — the work usually lives in spreadsheets and inboxes.

Why the gap exists at recruitment

EDC starts at enrollment. CTMS mostly starts at study activation and focuses on scheduled participants. The messy top of the funnel — 300 ad responders, 40 phone screens, 12 scheduled screenings — belongs to neither. That's precisely where trials fall behind, because it's where the volume and the drop-off live.

What to look for in the recruitment layer

• One record per person across all studies, with full contact history
• Configurable pipelines with real reporting (conversion by stage and by source)
• Fast pre-screening tools — web forms feeding directly into the queue
• Automation for acknowledgments and follow-up reminders
• Compliance basics: audit trails, access controls, consent and opt-out tracking

Integration reality check

Perfect integration across all three layers is rare and often unnecessary. The highest-value connection is simple: when a person converts to a participant, their recruitment history should be attached to their study record. Get that right and the rest is optimization, not necessity.
