A Site’s Guide to Evaluating Recruitment Technology Vendors

Demos all look great. These are the questions that separate platforms that will change your enrollment numbers from shelfware.

Every recruitment platform demo shows a clean pipeline, instant texting, and a dashboard full of green. The differences that matter show up later — unless you ask about them up front.

Questions that expose the real product

"Show me a coordinator's Monday morning." Not the admin view — the working view. Is there a queue of due follow-ups? How many clicks from seeing a lead to logging a call? Coordinators live in this screen; friction here is friction on every enrollment.

"How does data get in?" Web forms are table stakes. What about the leads that arrive by phone, walk-in, or a sponsor-provided spreadsheet? Bulk import with deduplication is where many tools quietly fail.

"What happens to duplicates?" The same patient will inquire twice, two years apart, with a new phone number. If the platform can't merge records and preserve history, your database degrades from day one.

"Walk me through an audit." A monitor asks how participant 004 was recruited and contacted. How many clicks to a complete, timestamped history? Can you export it?

"Where does the data live, and how do we get it out?" BAA willingness, encryption posture, access controls — and just as important, a full export path if you leave. Data hostage situations are common and avoidable.

"What does implementation actually require?" Ask for the last three go-lives: elapsed time, hours of site effort, and what surprised them.

Weight the boring things

Sites over-index on AI features and under-index on texting reliability, reminder automation, and report quality — the unglamorous capabilities that move enrollment numbers. A platform that reliably nags coordinators about due follow-ups will outperform a clever matching engine on top of a chaotic pipeline.

Finally, insist on a pilot with real leads and a defined success metric — time-to-contact, contact rate, or conversion. Thirty days of your own data beats any reference call.
