The Follow-Up Cadence: How Many Touches Before You Stop?

Most leads aren’t lost — they’re abandoned. A structured multi-touch cadence recovers enrollments that single-attempt outreach leaves behind.

Pull the data at almost any site and you'll find the same pattern: the majority of leads marked "unreachable" received exactly one or two contact attempts. Meanwhile, contact-center research consistently shows it takes several attempts to reach most people. The gap between those numbers is lost enrollment.

A cadence that respects both sides

A workable default for a new lead:

  1. Minute 0: Automated text/email acknowledging the inquiry and setting expectations.
  2. Within 2 business hours: First call attempt. No voicemail? Send a short text.
  3. Day 1: Second call at a different time of day than the first.
  4. Day 3: Text with a scheduling link — let them pick a time without a phone call.
  5. Day 7: Final call attempt plus a "we'll close your inquiry" message.
  6. Day 10: Move to nurture status — not dead, just dormant, eligible for future study matching.

Six touches over ten days is persistent without being harassment, and the "closing your inquiry" message reliably shakes loose replies from interested-but-busy people.

The details that matter

Vary the time of day. Calling three times at 10am reaches the same people every time: nobody who works mornings.

Make every touch actionable. "Call us back" underperforms "tap here to pick a screening time."

Stop instantly on request. An opt-out anywhere is an opt-out everywhere, logged permanently.

Why automation is the difference

None of this is complicated; all of it is tedious. Cadences collapse when they depend on a coordinator remembering that Tuesday's web lead is due a third touch. Systems that queue the day's due follow-ups automatically are what make the cadence real — the site's job is deciding the rhythm, not remembering it.
