Getting Recruitment Ads Through IRB Review Without Losing Weeks
IRB review of recruitment materials is non-negotiable — but the cycle time is manageable if you know what reviewers look for and plan for reuse.

Recruitment advertising is considered part of the informed consent process, which is why IRBs review it. Sites lose weeks not because review is slow, but because materials bounce for predictable reasons.
What gets ads rejected
- Overpromising benefit. "Get relief from your migraines" implies therapeutic benefit. "Researchers are studying an investigational medication for migraines" does not.
- Undue inducement. Compensation can be mentioned, but not emphasized — large fonts, dollar-sign leads, and "earn up to $$$" framing draw findings.
- Missing required elements. Most IRBs expect: research framing ("research study" / "investigational"), the condition studied, key eligibility, site identification, and contact info.
- "Free treatment" language. Study procedures aren't "free care," and calling the investigational product "treatment" or "new medication" (implying approval) is a classic bounce.
Speeding up the cycle
Build a pre-approved template library. Get a master set of ad frames approved — social post, flyer, radio script, text blurb — with bracketed variable fields. Many IRBs will then fast-track variations that only change the bracketed content.
Submit the whole campaign at once. Piecemeal submissions mean piecemeal delays. Batch every planned variant, including the landing page and pre-screener text, in one package.
Match the ad to the consent form. Reviewers check consistency. If the ad says "compensation up to $600" and the ICF says $450, expect a stipulation.
Know your IRB's checklist. Most publish recruitment-material guidance. Writing to the checklist on the first draft converts a three-cycle review into one.
Don't forget the digital details
Landing pages, pre-screener questions, and even standard reply templates for social comments are recruitment materials too. Getting them approved with the campaign — rather than discovered by a monitor later — keeps a good recruitment engine from becoming a finding.
