Text, Call, or Email? Matching the Channel to the Moment
Each contact channel has a distinct job in recruitment. Using the right one at the right moment lifts response rates across the funnel.

Sites tend to have a house habit — call-first shops, email-everything shops — when the evidence points to channel-by-moment matching.
What each channel does best
Text is the attention channel: high open rates within minutes, low friction to reply, ideal for confirmations, reminders, scheduling links, and nudges. Its weakness is depth — nobody explains a washout period over SMS — and it requires explicit consent.
Phone is the conversion channel. Eligibility nuance, objection handling, warmth, and consent-level conversations happen by voice. Its weakness is reach: unknown numbers go unanswered, and calls demand synchronized availability.
Email is the documentation channel: directions, what-to-expect summaries, links to study information, anything the person needs to reference later. As a first-touch channel for cold leads it underperforms both alternatives, but as a follow-through channel it's unmatched.
The combination patterns
- New web lead: instant text acknowledgment → call within two hours → if unreachable, text with a callback-choice link → email the study one-pager after first real contact.
- Scheduling: offer times by text with a booking link; confirm by email with logistics; remind by text on the 3-1 rhythm.
- Reviving a dormant lead: text beats call — "Hi Marcus, the insomnia study you asked about in March has new openings" gets replies from people who'd never answer an unknown call.
Respect stated preferences
The channel someone used to reach you is a preference signal; the preference they state is a rule. Log it, honor it everywhere, and revisit annually. Nothing erodes trust faster than three calls to someone who asked for text-only.
One caution: multichannel does not mean simultaneous barrage. Sequence the touches with breathing room, and every message should make the next step effortless. The channel mix is tactics; respect is the strategy.
