Enrollment Reports Sponsors Actually Want to Read
The weekly enrollment update is a site’s most visible work product. A good one builds trust; a great one preempts the difficult questions.

For most of a study, the enrollment report is the site as far as the sponsor can see. A report that answers the next question before it's asked changes the entire tenor of the relationship.
The anatomy of a useful report
The number against the plan. Not "3 enrolled this period" but "9 of 12 planned by this date; gap of 3." Sponsors think in trajectories. Show yours honestly, including the projected completion date at current velocity.
The funnel behind the number. Leads in, contact rate, screens scheduled, screen-fails with top reasons. This context converts "you're behind" conversations into "the lab criterion is failing 40% of screens" conversations — which are solvable.
What you're doing about the gap. Two or three concrete actions with dates: "Registry re-match against amended criteria on Monday; second geo-targeted campaign launches the 15th." Sites that volunteer their mitigation before being asked rarely get micromanaged.
What you need from them. Ad budget approvals, protocol clarifications, reference-lab turnaround — the blockers that live on the sponsor's side, stated plainly with the enrollment cost of delay.
Cadence and tone
Weekly and short beats monthly and thorough. Trend lines beat point-in-time tables. And bad news travels first: a sponsor who learns about a problem from your report trusts you; one who discovers it in the CTMS data does not.
The compounding effect
Sponsors grade sites on enrollment and on how it felt to work with them. The site whose reports were clear, honest, and self-correcting gets remembered when the next protocol is being placed — often by the same project manager, at a different company. Fifteen minutes of report discipline a week is business development at a rate no conference booth can match.
